Editing orders: payment, inventory, and returns
In Abicart Plus and Pro, you can edit a placed order, for example, change products, quantity, and shipping fees. A saved order change does not automatically mean that the payment or a connected business system has been changed. Check the payment status and inventory before making changes, especially for returns, cancellations, or refunds.
- Open the correct order and check the payment method, if money has been reserved or charged, and if the goods have been shipped.
- Change the correct information using the pencil icon in the respective information box and save.
- Reconcile the amount and payment status with the payment provider, as well as the inventory balance in the system that controls the inventory.
- Send a new order confirmation when the content is correct. Check a refund separately; a canceled order is not in itself a refund receipt.
Choose the right action before you start
| You want to | What you need to check |
|---|---|
| Change an unshipped order | What changes the payment provider allows for the order's current status and how the change is transferred. |
| Stop a purchase with a reservation | That the reservation is canceled with the payment provider and that the goods are not shipped. |
| Refund a charged purchase | Full or partial refund with the correct payment provider. Changing the amount in Abicart is not the same as refunding money. |
| Receive a return | Which goods have actually been returned and can be added to sellable inventory, and any potential refund. |
You can add and remove products, change quantity and price, customer details where the fields are available, VAT settings, shipping fee, and delivery method. Partner and commission settings cannot be changed. A locked customer field must be handled through the current payment provider's allowed method; do not change the payment method to try to unlock the field.
Edit the order step by step
- Go to Orders and open the order number. Note the original amount, payment reference, and relevant inventory quantities.
- Click the pencil icon in the box you want to change: Information about ordered products, Order, Customer details, Store's notes or Delivery.
- Make the change and save. Read the new total amount, shipping, VAT, and payment method after the recalculation. Stop further processing and contact support if, for example, the payment method changes unexpectedly.
- Follow the payment provider's allowed change or refund process. Check in both systems that the correct amount and status are registered.
- Check the inventory change. If needed, use Resend order confirmation via email at the bottom of the order.
Change shipping fee
Click the pencil icon in the upper right of Information about ordered products.

On the shipping line, you can use the pencil icon to change the fee or the trash can to remove it. Check the new total and any payment adjustment before the order proceeds.

Change quantity or price on an order line
Change Quantity or Price/item. The amount is recalculated and the original sum is shown for comparison. This changes the order line; it is not a standalone inventory count.

You can also add products, shipping fees, and payment fees with the buttons below the order lines. Check the payment's allowed amount before adding anything that increases the total sum.
Payment: custom methods, Klarna Payments, and Kustom
With custom payment methods, such as your own invoice or advance payment, you are responsible for the corresponding change in invoicing and payment follow-up. A change in Abicart does not automatically adjust an already issued invoice.
With an external payment provider, both the payment product and the current payment status determine which changes are allowed. A decrease, an increase, and an address change can have different rules. Do not assume that an original reservation can be increased or that a changed delivery address will be accepted.
Klarna Payments and Kustom Checkout are different products. Open the provider portal that corresponds to the order's payment method. Older orders may have names like Klarna Checkout or Klarna Online. Do not use a product name or the order's age as the sole basis for what change can be made.
Go by the actual payment status with the provider, not just the Paid marker in Abicart. Have you previously received advice about a 14-day limit or an older activation flow? Ask support to confirm which payment product, integration, and order status that advice applies to before following it. Do not use such a time limit as a general rule for all Klarna or Kustom orders.
- If the Send changes to Klarna button is available, first check that the intended change is supported for the order's status.
- If the button is missing or the change is rejected, check the order in the correct provider portal. A missing button does not mean that the payment has been updated anyway.
- If the purchase has already been charged, a decrease needs to be handled as a separate refund according to the provider's rules. Check the refund reference and amount.
- If the amount is to be increased or customer/delivery details are locked, check the allowed procedure with the provider or Abicart Support before you continue. Do not mark the order as paid to try to force a rejected change through.
See Kustom Checkout if that is the order's payment product. For Klarna Payments, the Klarna refund guide describes refunds for charged purchases; it does not replace the instructions for another provider.
Cancellation, full return, and partial return
Cancel is used to cancel an order in Abicart. If the payment method supports it, a request is also sent to the provider. Read any messages in the Admin and check the provider's status. If it has not changed, the external payment needs to be handled separately.
For a full return of an already delivered order, you should first check the physical return and the payment. Do not cancel a delivered order just as a way to get money back: the cancellation can also restock inventory and send notifications. Choose the handling based on what has actually been returned.
For a partial return, you change the affected order lines and check inventory and the partial refund. Do not cancel the entire order if only one item is returned. Send an updated order confirmation when the details are correct.
Check inventory and business systems
When an inventory item is removed or the quantity is reduced on an order, Abicart can automatically return the corresponding quantity to inventory. Check the result against what is actually available and sellable. A damaged item or a return that has not arrived should not become available for sale by mistake.
If you use Specter or another business system, do not assume that an order change also corrects the stock balance there. Check which system controls inventory and compare the stock balances and movements in both systems. If necessary, correct the stock separately in the business system. Do not make the same manual stock adjustment twice while a transfer is already pending.
Deletion and anonymization
A delivered order should not be deleted like a regular unshipped order. Deletion can lead to cancellation, restocked inventory, and customer emails. If the purpose is to manage personal data, there is Orders > Settings > Anonymize orders. Choose the setting based on your obligations to save accounting and order records. Anonymization is not a payment or inventory correction.

When you need help
Contact support if the total sum or payment method changes unexpectedly, if you do not know which provider portal applies, or if the order and payment do not match. Provide the store, order number, payment method, change, time, and error message. Do not send full card details or passwords.
